Optimem is designed to work on your device first. Most of your data -- flashcards, study progress, local content -- stays on your device and never touches our servers. You don't even need an account to use the core features.
This policy explains what we do collect when you go online, why, and what control you have.
How privacy works on Optimem
Optimem is built around a few core privacy principles: we are private by default, sharing is strictly opt-in, and everything is always secure.
The privacy progression
On your device (Default)
Flashcards and study progress stay local. No account needed.
With an account (Optional)
Email and sync data collected for cross-device progress. Private to you.
With friends (Opt-in)
Challenge your friends or share your packs with them. No personal data like email addresses are exposed to others.
With AI (Opt-in)
Only if you actively use AI features. See our AI Policy for details.
With the world (Opt-in)
If you publish your packs or compete in global challenges.
Whether you have an account or not, we keep non-essential analytics anonymous. You can disable most data collection via the app or website settings.
What we collect under the hood
When you use Optimem, we automatically collect some technical data to keep the service running smoothly:
Anonymous analytics
We collect basic, anonymous telemetry to fix bugs and improve the product:
- Device info (OS, browser type, device model)
- IP address (includes coarsely inferred geolocation)
- Usage data (pages visited, features used, crash reports)
This is collected whether you have an account or not, and is not linked to your personal identity. You can disable this via the app or website settings.
Account & feature data
If you create an account or use optional features, we also collect:
- Learning data: Progress, streaks, language preferences, and synced content for your cross-device experience.
- Account activity & usage: Login events and aggregate usage of billed features (like AI and speech transcription) are logged with your account ID for security, abuse prevention, and fair-use limits.
- Voice input: Only collected when you actively use voice chat. We never store your audio or transcripts. For most languages, audio is sent to a third-party service (AssemblyAI) for transcription only. Some languages use a private model where audio never leaves our infrastructure.
- Feedback: Bug reports and feature requests you submit.
Standard technical data
- Cookies. We use essential cookies for required functionality like authentication (always on) and, separately, optional analytics (which you can turn off).
- App store data. Anonymized or aggregated analytics from Apple or Google about app usage.
What we NEVER do
We believe in straightforward, honest business practices. That means:
- We never sell your data to anyone.
- We don't store or use your private chat messages or audio recordings.
- We never share your data with anyone without your explicit permission.
- We don't use cross-site tracking cookies or participate in ad networks.
- We don't run advertisements for other products or services.
Who else sees your data
We share information only when absolutely necessary:
- Service providers. Third parties who help with hosting, analytics, payment processing, and speech transcription (like Apple, Google, Stripe, AssemblyAI). They are contractually bound to use your data only for providing their services to us.
- Legal requirements. When required by law, court order, or legal process, or to protect rights and safety.
Security & Retention
We use industry-leading secure encryption and access controls to protect your data. While no system can guarantee 100% security, we take it seriously. By minimizing the data we collect in the first place, we further protect your privacy.
We keep your account data as long as your account is active. If you delete your account, we'll delete or anonymize your personal data within 30 days. Publicly shared content may persist in cached or archived form after deletion.
Your Universal Data Rights
We don't believe your privacy rights should depend on where you live. No matter your country or state, you have the right to:
- Access the personal data we hold about you
- Export your data in a portable format
- Correct inaccurate personal data
- Delete your account and associated personal data at any time
- Opt out of non-essential data collection (like analytics) via Settings
To exercise any of these rights, use the "Data Rights" option in your account settings, or contact us at privacy (at) orgsoft.org. We won't discriminate against you for exercising your privacy rights.
Changes to this policy
We may update this policy. We'll notify you of significant changes through the app or email before they take effect.
